At Blossom & Thrive, we deeply value the trust you place in us. We are committed to protecting your child’s privacy and handling all personal, developmental, and medical information with the highest level of confidentiality, in accordance with HIPAA (Health Insurance Portability and Accountability Act) and other applicable privacy laws.

This policy outlines how we collect, use, and safeguard your family’s information in the course of providing occupational therapy and related services.

Use of Personal Health Information (PHI)

Your child’s health information is used for:
    •    Treatment planning and service delivery
    •    Billing and insurance claims
    •    Coordination with other providers (with written consent)
    •    Clinic operations and quality assurance

We will only share your child’s information when it is necessary for these purposes and will always seek your written permission before sharing with other professionals, schools, or agencies outside of our team.

Parent Access to Records

You have the right to:
    •    Review or request a copy of your child’s records
    •    Request corrections to inaccurate information
    •    Ask for a summary of services or a discharge report at any time

To request records, please contact us in writing. We may require a signed release form, and reasonable processing time will be required.

Electronic Communication

Please note that communication via email or text may not be fully secure. While we take appropriate measures to protect your information, we cannot guarantee confidentiality through these methods.
We ask that you do not share sensitive health details or personal concerns via text or email. For any confidential matters, please request a phone call or in-person meeting.

Storage & Security

All records are securely stored in a HIPAA-compliant electronic medical record (EMR) system. Access to records is limited to authorized staff involved in your child’s care. Paper records (if used) are kept in locked, secure locations.

Photos & Videos

Photos and videos may occasionally be used for documentation, treatment planning, or educational purposes. We will always request your explicit written consent before using any images of your child for any reason, including marketing or training.

Confidentiality in Shared Spaces

Please be mindful that waiting areas and playroom spaces may be shared. While we strive to maintain discretion, we encourage families to avoid discussing sensitive information in public areas. If you need to speak privately, please let us know—we are happy to accommodate you.
